Enrollment made easier with the new One Census template

The new One Census template can be used for all Small Group AFA and 51-100 Fully Insured new business and renewal changes, regardless of what enrollment platform will be used. This template replaces eList and Springboard census templates. If you’re using Springboard on new business and want to use Shopping on Us, you will need to complete the medical plan selections.

1095-B tax forms reminder: up-to-date information needed

When it comes to 1095-B tax forms for your AFA 2-50 business, we’ve got you covered. We handle 1095-B forms for AFA customers with 2-50 eligible employees so they don’t have to worry about it.

 

We will automatically prepare and file the form on the customer’s behalf. Then in January, we’ll distribute it to all the applicable members via the member website. This helps save customers time and money during tax time.

 

Keep in mind:

  • This perk is for employers with 2 to 50 eligible employees.* We will not file 1095-B forms on behalf of customers with 51 or more eligible employees.
  • Contact your Aetna Answer Team or Aetna representative if you have a customer that needs to change information like group name, tax ID, etc. If the information on file is out of date and the IRS rejects the filing submission, we will not refile on their behalf.
  • If the customer would like to complete their own 1095-B forms, they will need to opt out by October 31, 2023. We will communicate these details to customers later in September.

Update on Gag Clause Prohibition Compliance Attestation filing process

Earlier this year, the Internal Revenue Service, Department of Labor and Health and Human Services issued a joint announcement detailing how group health plans are to comply with the Gag Clause Prohibition Compliance Attestations (GCPCA), established by the Consolidated Appropriations Act, 2021. Employer-sponsored group health plans (both self-funded and fully insured) are prohibited from entering into agreements with a health care provider, network or association of providers, Third Party Administrator, or other service provider where the plan is restricted from accessing and sharing certain information.

 

As part of this clause, plan sponsors are required to submit an annual attestation that the plan is in compliance with these requirements. Good news! We will now be filing the attestation on your customers’ behalf.

New business submission process for Small Group AFA

To help make the sold case submission process simpler, we’ve outlined four easy steps to help you. At a high level, they are:

  • Step 1:  Submit sales notice with required documents
  • Step 2:  Complete and sign required paperwork
  • Step 3:  Finish paperwork electronically with assigned sales coordinator
  • Step 4:  Once all paperwork is received, your customer will be finalized

Your sold case will move through the process faster if you include all required documents with your submission.

New Over-the-Counter (OTC) Health Solution offering gives members up to $100 a year to shop CVS® retail wellness products

We are committed to helping your customers’ bottom line, by helping their employees save money – and feel and work their best.

 

This new benefit is available to all members on:

  • SG AFA plans with effective or renewal dates on or after 9/1/23.
  • 51-100 Fully Insured plans in Florida, Kansas and Texas with effective or renewal dates on or after 10/1/23.

Eligible members will get up to a $100 yearly allowance to use on over-the-counter wellness items at CVS retail stores. It can be used in-store, online, or over the phone and includes hundreds of over-the-counter health and wellness items, from pain relievers and cold medicine to bandages and much more. Every 3 months**, members get $25 per person on their Aetna plan.

Customer email campaign helps members better utilize their benefits

We’re excited to announce that we recently launched a new engagement email campaign for our Small Group customers††. The goal is to empower them to better support their employees during their health care journey. The emails provide a central repository of resources that can help members better access, utilize and understand their benefits, as well as avoid common issues that can lead to dissatisfaction with Aetna.

 

Customers are entered into a retention nurture stream based on their effective date. They will receive emails based on where they are in their “lifecycle.” The campaign is grouped into three key phases: welcome & onboarding, benefits utilization, and staying with us.

 

Some key topics of the emails include:

  • Helping employees get started with Aetna
  • Understanding benefits
  • Finding care
  • Open enrollment
